LEGAL NOTICE: This Privacy Policy is a professional draft for internal review. This Policy applies to participants across all geographies we serve, including India, the United States, Canada, Australia and the United Kingdom. The primary governing law for data processing is India’s Digital Personal Data Protection Act, 2023 (‘DPDP Act’). Where participants are located in other jurisdictions, we also comply with applicable local data protection law as set out in Section 10 of this Policy.
What Personal Data We Collect
2.1 Data Collected from DC Mentors
When you apply to become a DC Mentor or maintain Mentor status, we collect and process:

Legal basis – India (DPDP Act 2023): Your free, specific, informed and unambiguous consent (Section 6 DPDP Act), given when you submit a Mentor application and tick the consent checkbox.
Legal basis – UK (UK GDPR): Consent (Article 6(1)(a) UK GDPR) for profile publishing and promotional use. Legitimate interests (Article 6(1)(f) UK GDPR) for operational correspondence.
2.2 Data Collected from DC Community Members
When you register as a DC Community Member (professional or student):

2.3 Data Collected at DC Events (Online and Offline)
When you register for or attend a DC Event – including virtual webinars, physical meet-ups, conferences and the DC Awards Show:

2.4 Data Collected at the DC Marketing Excellence Awards Show
In addition to standard event data (see 2.3 above), the DC Awards process involves:

Entry data submitted for DC Awards judging is treated as confidential during the judging period. Scores and individual judge comments are not disclosed to entrants.
2.5 Data Collected from DC Website Visitors

3. How We Use Your Personal Data
- 3.1 DC Mentor Data
- Publishing and maintaining your professional profile on the DC website and affiliated digital platforms
- Sharing your name, title, photograph and bio on DC’s social media channels as part of community promotion
- Featuring your details in press releases, newsletters, media packs and event promotional materials where your participation is relevant
- Sending event invitations, logistical information and community updates via your contact email
- Connecting you with DC Campus Ambassadors in your industry – your contact details will not be shared with students without your prior consent. They will contact you through a DC-facilitated introduction
3.2 Community Member Data
- Sending event invitations, DC newsletters and industry insights
- Managing your community membership account and routing you to the right events and Mentor connections
- Issuing DC Participation Records and certificates for Campus Ambassadors
- Internal analytics to understand community growth and engagement (aggregate, anonymised data used for reporting)
3.3 Event Attendee and Registrant Data
- Confirming and managing your event registration
- Producing name badges and delegate lists for physical events (shared only with the DC event team and, with separate explicit consent, selected event sponsors)
- Publishing event highlights, photographs and session recordings on DC’s platforms and social channels
- Post-event satisfaction surveys and feedback
- DC Awards entrant management, judging coordination and winner notifications
4. Photography, Video and Recording at DC Events
- DizitalConnect takes photograph and video consent seriously across all jurisdictions we operate in.
4.1 At Physical Events (Meet-ups, Conferences, DC Awards Shows)
- A clear photography and recording notice will be displayed at the event venue entrance and included in your event confirmation email
- If you do not wish to be photographed, please inform the event organiser on arrival – we will provide a clear opt-out mechanism (for example a coloured lanyard at larger events)
- Close-up or individually identifiable photographs of general attendees (as distinct from DC Mentors and Speakers who have provided consent as part of their profile) will not be published without that individual’s specific consent
- Photography of the DC Awards Show ceremony may include audience shots and acceptance moments – consent is noted via acknowledgment on event registration and signage at the venue
4.2 At Virtual Events and Webinars
- Participants will be informed at the start of every session if the event is being recorded or live-streamed
- You may keep your camera off at any time if you do not wish to appear in the recording
- Chat messages and Q&A submissions may appear in recordings – please submit questions verbally or use a display name if you prefer not to be identified
- 4.3 Withdrawing Consent for Photos or Recordings
- You may request removal of your image from any DC digital publication at any time by contacting hello@dizitalconnect.com
- We will process removal requests within 14 working days where technically feasible
- We cannot guarantee removal from materials already independently published by third-party media, but will request removal where we have an ongoing relationship with the publisher
- 5. Social Media and Press & PR Promotion
- Where DizitalConnect promotes DC Events, Mentor profiles or community milestones on social media or through press channels:
We will always credit named individuals by name and professional title – never include personal contact details
We will not tag you on social media without your prior permission
We will seek your approval before submitting your profile or a DC case study to any external press publication, awards body or third-party content platform
Press releases issued by DizitalConnect about DC Events may include the names and titles of Mentors, Speakers and Award winners. Winners are expected to grant this permission as part of their Awards entry
6. Sharing Your Data with Third Parties
We do not sell, rent, trade or share personal data with third parties for their own marketing purposes. We may share data only in the following limited circumstances:
- Event technology providers: Registration platforms, virtual event software, ticketing systems and payment processors engaged by DizitalConnect to deliver DC Events. All are bound by data processing or data protection agreements.
- Event sponsors (with your consent only): We do not share attendee data with sponsors as a default. Where a sponsor requests attendee details, we will ask for your explicit, separate consent at registration (for example: ‘I agree to share my contact details with [Sponsor Name]’). No pre-ticked boxes are used.
- Media and press: For DC Mentors and Speakers, your professional profile details (name, title, company, photograph, bio) may be shared with journalists or media partners covering DC Events. This is disclosed in the Media Licence (Clause 3.6 of the Terms & Conditions).
- DC Awards related: Winner and shortlist details are published as part of the Awards programme. Entry submission data is shared only with the judges assigned to your category under strict confidentiality.
- Social media platforms: When we publish your photo or profile on social media, that content is processed under the relevant platform’s own terms. We recommend reviewing the privacy settings of your accounts on those platforms.
- Legal or regulatory: Where required by law, court order, regulatory authority, or to protect the rights, property or safety of DizitalConnect, our community members, or others.
- 7. International Data Transfers
- DizitalConnect is based in India and operates a UK office. Personal data of DC Mentors and Community Members from all participating countries (India, US, Canada, Australia, UK) is processed at these locations.

Retention periods will be reviewed annually. If the DPDP Rules under the DPDP Act 2023 require specific retention periods for categories of personal data, DizitalConnect will update this Policy accordingly.

10. Jurisdiction-Specific Notes
10.1 India – Digital Personal Data Protection Act, 2023
India is our primary jurisdiction. All data processing by DizitalConnect is conducted in accordance with the DPDP Act, 2023 as primary legislation. Key commitments:
- Consent is sought for every category of personal data processing before processing begins
- Purposes of processing are stated clearly in specific, plain-language consent notices
- Data Principals (you) may withdraw consent at any time – withdrawal does not affect the lawfulness of processing prior to withdrawal
- DizitalConnect will notify affected individuals and the Data Protection Board of India (when established) of any personal data breach in accordance with required timelines under the DPDP Act
- DizitalConnect will fulfil all Data Principal rights requests in accordance with DPDP Act timelines
10.2 United Kingdom – UK GDPR
DizitalConnect operates a UK office and serves participants in the UK. UK-based participants’ data is processed in compliance with UK GDPR:
- Legal bases for processing are identified for each data activity (see Section 2)
- UK participants have all rights available under UK GDPR including data portability and the right to lodge a complaint with the Information Commissioner’s Office (ICO) – www.ico.org.uk – Telephone: 0303 123 1113
- Data transfers between India and the UK are managed using appropriate safeguards including Standard Contractual Clauses (SCCs) or equivalent mechanisms as required by UK adequacy decisions
10.3 Canada – PIPEDA and Provincial Laws
Canadian participants’ data is processed with full respect for the Personal Information Protection and Electronic Documents Act (PIPEDA), the Canadian Anti-Spam Legislation (CASL) and applicable provincial privacy laws:
- Marketing emails and newsletters sent to Canadian email addresses comply with CASL – including identification of the sender, a clear unsubscribe mechanism, and prior consent
- Canadian participants may contact the Office of the Privacy Commissioner of Canada (OPC) – www.priv.gc.ca – with any unresolved privacy concerns
10.4 Australia – Privacy Act 1988
Australian participants’ data is handled in accordance with the Australian Privacy Act, 1988 and the Australian Privacy Principles (APPs):
- DizitalConnect only collects personal information that is reasonably necessary for our functions
- Australian participants may request access to or correction of their personal information
- Complaints may be escalated to the Office of the Australian Information Commissioner (OAIC) – www.oaic.gov.au – if not resolved directly with DizitalConnect
10.5 United States
DizitalConnect does not have offices in the United States. US participants’ data is processed in India and the UK under those jurisdictions’ laws. Additionally:
- California residents have rights under the California Consumer Privacy Act (CCPA) including the right to know what personal information is collected, the right to request deletion, and the right to opt out of sale of personal information. DizitalConnect does not sell personal information to third parties
- We do not use personal data for targeted advertising without consent
- US residents may exercise CCPA rights by contacting hello@dizitalconnect.com
11. Data Security
DizitalConnect implements appropriate technical and organisational measures to protect personal data from unauthorised access, loss, destruction or disclosure:
- Password-protected and encrypted storage systems
- Access controls limiting who within DizitalConnect can access personal data, based on role and necessity
- HTTPS encryption on all DC websites and registration platforms
- Confidentiality obligations in contracts with all staff, contractors and third-party processors who handle personal data
In the event of a personal data breach that is likely to result in risk to individuals, DizitalConnect will notify affected individuals and the relevant supervisory authority (as required under applicable law) within the timeframes required by law.
12. Cookies
The DC website uses cookies. A full Cookie Notice is available in the website footer. In summary:
- Strictly necessary cookies: Required for the website to operate. No consent required.
- Analytics cookies (e.g. Google Analytics): Measure website usage. Require your consent.
- Marketing / preference cookies: Used for personalisation or tracking. Require your consent.
You may manage cookie preferences at any time via the cookie banner or your browser settings.
13. Children and Students
DC Community membership is open to individuals aged 18 and over, and to students aged 16 and over who register through the DC Campus Network.
For students aged 16 or 17, DizitalConnect will, where required by applicable law, obtain verifiable parental or guardian consent before collecting, using or publishing any personal data – including photographs or DC Participation Records.
The DC website, community and events are not directed at children under 13. DizitalConnect will delete promptly any data found to have been collected from a child under 13 without appropriate consent.
14. Changes to This Privacy Policy
We may update this Privacy Policy as required – for example, to reflect changes in law (particularly as DPDP Rules under India’s DPDP Act are finalised and implemented), changes to our services, or following regulatory guidance.
We will notify registered DC Mentors and Community Members of material changes via email with not less than 14 days’ notice before changes take effect. The current version and effective date are always published on the DC website.
