Connecting the website and CRM into one intake system

The request was a website redesign. The problem was that enquiries were arriving and nothing was reliably picking them up.

What the client was dealing with

A California-based solo attorney asked for a redesign and CRM support. Solo practices often ask for a new website when the actual failure is downstream: the enquiry arrives, sits in an inbox, and the prospect retains someone else.

The website and the case management system were operating independently. Nothing connected an enquiry to a matter without manual re-entry, and manual re-entry does not happen reliably in a practice with one attorney.

Clio’s 2026 data shows 71% of solo practitioners and 75% of small firms now use AI, while fewer than 33% report meaningful revenue gains from it. Efficiency gains do not convert into revenue unless the intake path they feed is actually connected. Clio, Legal Trends for Solo and Small Law Firms, 2026.

How the engagement ran

01  Discover

Ran a discovery call before any design work to establish the commercial purpose of the redesign and where enquiries were currently being lost.

02  Diagnose

The design was not the binding constraint. The disconnect between enquiry capture and matter intake was.

03  Design

Specified one path from first contact to matter, with the website forms mapped directly to the fields Clio expected.

04  Deliver

Built the site and integrated it with Clio so intake flowed into the system the practice already used.

05  Develop

Documented the intake process and set the response expectations the practice could actually meet single-handed.

06  Demonstrate

Reported on response time and consultation rate rather than traffic, because those are the numbers that decide whether a solo practice grows.

A redesign will not fix an intake gap
